I’ve lost my instructions on how to handle Vouchers and what to do for reimbursement of services. What do I do?

How long does it take to receive reimbursement?

Invoices and signed vouchers for services rendered during the previous month should be submitted no later than the 5th day of the current month. Reimbursement usually is made within 10 days of receipt of invoice.

Who are respite/service providers?

North Carolina licensed agencies providing various types of services, adult day care, in-home care, nursing homes, assisted/independent living facilities and group respite.

How are providers paid?

HCCF is to be billed no later than the 5th day of each month.  An invoice itemizing all services provided along with the signed vouchers (original white copies) covering the amount of services performed are submitted to HCCF, PO Box 3356, Boone, NC 28607 for reimbursement.  

All vouchers must be signed by the caregiver as named on the voucher and also signed by a provider representative.  Yellow voucher copies are to be retained by the provider and pink voucher copies are retained by the caregiver.

How do I determine the amount of vouchers to remit for reimbursement?

In order to fully utilize the full amount of the vouchers it is recommended that the amount of vouchers remitted not exceed the invoice amount.  Ex:  Services rendered total $167.00.  Vouchers completed for reimbursement should total $160.00.  Caregiver will pay $7.00.

What do I do if the vouchers have expired?

Services rendered prior to the expiration date may be billed by the 5th day of the month for the services performed in the month of expiration.  Ex: Expiration date of August 31.  Services were performed on August 28.  Invoice for those services will be billed by September 5.  Any services performed in September are invalid and will not be reimbursed.   • Persons aged 60+
  • Persons having at least 2 ADL’s deficit
  • Persons experiencing memory loss

What is the length of our contract?

Executed contracts are valid for a period of two years from date of execution.
